Britton Gallagher is currently accepting applications for a full-time Front Office Operations Coordinator in our Administration Department. This is an entry level position with primary responsibilities for delivering friendly, warm, and inviting service to our visitors, incoming callers, and staff. This position provides training to build foundational skills to move to higher level roles within the company.
Qualifications: The successful candidate must have a high level of professionalism, enthusiasm, and a strong passion toward providing superior customer service. Must possess a friendly and courteous disposition, polished verbal and written communication skills, and strong time management and organizational skills. Willingness to keep an ear to the ground, keeping abreast of overall company functions such as important meetings, deliveries, client visits, and company activities. Demonstrated ability to manage multiple tasks and complete them within established deadlines. Comfortable supporting all levels of staff with the capability of working independently and in a team environment.
Duties Include: The position is responsible for greeting visitors and directing them appropriately. Answering and screening incoming telephone calls and referring them to the appropriate person, maintaining staff directories and electronic welcome boards, managing inventory of office supplies, scheduling meetings including food and beverages, facilitating origination of conference calls, coordinating building maintenance calls, administering mail merge and mass email projects, preparing and edit office correspondence and client proposals, and performing special projects.
Education/Software/Experience: Demonstrated experience in office procedures and related duties. Should possess a strong working knowledge of Microsoft Office Word, Excel, PowerPoint, Outlook, and Publisher. Comfortable working in customer data management systems and operating office equipment. Completion of software training courses or technical school certification highly preferred.PRIMARY FUNCTIONS:
- Perform functions for general office support
- Facilitate customer policy workflow process
- Provide support to departments as needed
- Other duties as assigned
- Answer Incoming calls to the main line from 8-5 M-F
- Check general voice mailbox
- Maintain board room, the lobby, and front desk
- Manage conference rooms and kitchenette
- Validate parking tickets
- Data entry projects
- Assist divisions as necessary
- Other projects as assigned
- Act as an ambassador on phone, in-person to internal/external clients
- Adherence to dress code
- Organized-can maintain high standard of clean, orderly reception area
- Provide quality support to both our clients and staff
- Working knowledge of Word, Excel, and Outlook
- Friendly, detail-oriented person who enjoys working in a professional team environment
- Strong interpersonal skills
- Ability to multi-task
